During most of the previous the client won’t have to do anything. It only becomes interesting for the client when the nameservers are changed and the change is being propagated through the internet.
The way most people set up their Outlook, Thunderbird or similar mail client is to enter names for the POP- and SMTP-server. These will be names like pop.yourdomain.com and smtp.yourdomain.com. During the propagation there will be a moment during which pop.yourdomain.com will point to, for instance, 1.1.1.1 and the next moment it will point to 2.2.2.2. After the change you will not be able to receive the e-mails from 1.1.1.1 because the name does not point there anymore.
To remedy this you will need to do the following:
- Change the names of your POP- and SMTP-server to their respective new IP-addresses (2.2.2.2 in the above example for the POP-server).
- Add a new mail account with the same details as the old one and with the POP-server set to the old IP-address (1.1.1.1 in the above example).
- After the propagation is done completely you can delete the new mail account.
To change the name of the POP- and SMTP-server to their IP-addresses in Outlook you need to do the following.
- Go to Tools -> E-mail accounts
- Select “View or change existing e-mail accountsâ€
- Select the account that you want to change and click “changeâ€
- Change the “Incoming mail server (POP)†to the IP-address of the new POP-server
- Do the same thing for the “Outgoing mail server (SMTP)†(with the address for the new SMTP-server of course)
- Click “Next†and you’re back in the screen with your accounts
- Create a new e-mail account by clicking “Add†in the right side
- Choose for a POP3-type account and click “Nextâ€
- Fill in all the fields just like you have then with the other e-mail account, but use the IP-addresses for the old POP- and SMTP-server.
- Click “Next†and you are done.
In Firefox you will need to do the following to change and add an e-mail account.
- Go to Tools -> Account Settings
- Select the server settings below your mail address in the left side of the screen
- Change the name of the POP-server to the IP-address of the new POP-server and click “Okâ€
- Go to Tools -> Account Settings again
- Click “Add account†on the bottom left hand side of the screen
- Choose for e-mail account, fill in your details and enter the IP-address for the old POP-server.
- Leave the checkbox checked so all mails that come through this account are sent to your global inbox instead of a separate directory
- When this is finished go to your outgoing server by clicking on “Outgoing server (SMTP)†in the bottom of the white field on the left hand side
- Select your SMTP-server in right hand side and click on “Editâ€
- Now change the name of your SMTP-server to its new IP-adress.
- Click on “Ok†and again in the original screen and you are done
During the propagation you will now receive and send your e-mail like nothing is going on because you download your mail form both POP-servers. It would be wise to make sure that you delete the new mail account after the propagation is done because it is good practice to keep your mail and its accounts organized.
